Work Profile System (WPS)
The Work Profile System (WPS) was developed by Saville and Holdsworth Ltd. over 20 years ago and has operations in 40 countries. WPS is an advanced computerized system of job analysis. Fast, accurate and easy to use, it represents one of the most important developments in psychometrics in recent years.
In 1983, the University of Kentucky Community College System was the first educational institution to become a licensed site administrator of the system. Since that time the Community College System (now the Kentucky Community and Technical College System) has assisted scores of organizations across Kentucky to enhance their human resource operations through the use of the Work Profile System.
How the WPS Works
In the past, job analysis has often been looked upon as an inexact and time-consuming process. The Work Profile System uses computer technology to collect and process data quickly and accurately. The first step is to collect job information through a structured questionnaire, which can be completed either with paper and pencil or by computer. This process is performed with the assistance of four to six employees (job experts) who are extremely familiar with the job being analyzed.
Once the information is collected, it is computer analyzed by the Work Profile System. The output is then validated by the job experts, assuring accuracy and completeness. The result is a technical database for each job profiled.
Information from the WPS database can be utilized for a wide variety of employment purposes, producing a seamless system for human resource management.
WPS Uses
A major advantage of the system is its flexibility. It can be used for a wide range of applications including:
- Employee Selection
-
Once a job analysis has been completed, a battery of assessment instruments is identified which accurately measures those skills and abilities that are essential to the position being filled. Job applicants progress through a customized assessment center which produces a person/job match that is a measure of the individual’s ability to successfully perform the job. In addition, a structured interview can be produced which will greatly enhance the selection process.
SHL tests are administered under standardized test conditions. They provide carefully developed content, objective scoring, and evaluation. This consistency produces a more fair and defensible hiring process, based on the assessment of cognitive abilities related to the job in question.
- Performance Appraisal
-
Essential job functions identified from the job analysis will provide the foundation upon which employees will be evaluated. Each task (function) will be weighted to ensure that the appraisal truly represents the overall contributions of each employee.
- Job Evaluation
Through the use of the job analysis and other key information from the organization, the relative worth of each job being analyzed can be determined. A value scale for all jobs analyzed can also be created.
- Restructuring
WPS can easily group similar jobs and procedures, resulting in streamlining and cost effective processes within the organizations.
Ensuring equal opportunities and compliance with the Americans with Disabilities Act (ADA) are essential foundations of WPS. The introduction of WPS to any organization can make a significant contribution to solving many personnel problems.
A World of Possibilities
Many users show initial interest in WPS for one specific purpose such as job analysis or selection. However, they soon discover the versatility of the system and begin to find other applications, such as:
- Structuring and defining new jobs
- Creating job families
- Identifying and defining competencies for hiring purposes, career development and succession planning
- Documenting existing jobs in the form of job descriptions and person specifications
- Identifying performance review measures
- Choosing defensible assessment procedures and methods
- Identifying jobs for rotation and cross-training
- Matching candidates against job profiles
- Improving interviewing
- Identifying specific areas of training and development
Madisonville Community College's Role
Madisonville Community College has certified trainers that can assist you with any of the above human resource possibilities using WPS.
In addition to helping with these services, we can also assist you with your hiring processing. We work with the Department of Employment Services to accept applications. With WPS, we can assist you with the entire selection process, including pre-screening, job analysis, person job match, dexterity screening, and database management.

WorkKeys
WorkKeys is a product of ACT Inc., a nonprofit organization best known for the ACT college entrance exam. WorkKeys is a national system for teaching and assessing workplace skills that connects knowing with doing and learning with earning.
The WorkKeys system helps businesses cut the cost of recruiting, selection, hiring, turnover, training, overtime, and downtime. Companies using WorkKeys have noticed improvements in employee morale, job satisfaction, teamwork, productivity, and product or service quality.
How the WorkKeys System Works
In consultation with employers, educators, and experts in employment and training requirements, ACT has identified key generic employability skills: skills crucial to effective performance in most jobs. The following critical skills form the basis of the Work Keys system:
- Reading for Information
- Applied Mathematics
- Listening
- Writing
- Teamwork
- Applied Technology
- Locating Information
- Observation
After identifying these critical generic workplace skills, ACT developed the WorkKeys system. The system consists of:
- Job Profiling (Job Analysis)
Working with experienced employees (SMEs - subject matter experts), ACT-authorized job profilers evaluate the key skills and levels of competency required for specific jobs in the eight skill areas.
- Skill Assessment
ACT's standardized WorkKeys skill assessments relevant to the profiled job are administered to job applicants and / or employees to pinpoint their current skill levels in up to eight critical areas. Levels identified for these individuals as a result of the assessment using the WorkKeys assessments can be used in several situations.
- Instructional Support and Employee Selection
-
The skill levels demonstrated by each test taker can be compared to the minimum skill levels required for the profiled job. These results can be used to:
- Provide employers with evidence of skills attained
- Document and credential generic employability skills
- Identify personal education and training needs
- Link education and training with employment
- Document skill development over time
- Identify jobs for which current preparation is sufficient
- Explore appropriate career paths
- Target training to skill needs
- Target instructional programs accurately
- Develop and revise curricula to meet business and education needs
- Support and guide individual career development
- Serve as professional resource for the business community
- Reduce remedial education burden of employers
